Fluently (“Fluently”, “we”, “us”) is an English-practice application operated by an independent developer. This policy explains exactly what data we collect, why, where it goes, and how you can remove it. We have tried to write it plainly rather than in legal language.
Fluently is intended for users aged 18 and over. We do not knowingly collect data from anyone under 18. If you believe a minor has created an account, contact us and we will delete it.
Fluently offers only “Continue with Google”. When you sign in, we receive and store your Google account identifier, email address, display name, and profile picture URL. We do not receive or store your Google password, and we do not store Google access or refresh tokens.
Fluently does not include AI usage. You supply your own Google Gemini API key, which pays for your own usage. We store that key in our database encrypted at rest (symmetric encryption, with the encryption key held outside the database — so the database alone is useless to an attacker). It is never displayed back to you (not even to you, once saved), never sent to any third party other than the AI provider it belongs to, never logged in plain text, and used only to make AI requests on your behalf. You can replace it at any time from Settings, and it is erased immediately when you perform a full reset or delete your account.
Our hosting providers process standard server logs (such as IP address, timestamps, and request paths) for security and reliability. We do not use advertising trackers, and we do not run third-party analytics or advertising SDKs in the app.
Only to operate the service: to authenticate you, keep your vocabulary and conversations available across devices, personalise how your companion talks to you, calculate your proficiency scores, and keep the service secure. We do not sell your data. We do not share it for advertising. We do not use your conversations to train our own AI models.
| Provider | What it receives | Why |
|---|---|---|
| Google — Gemini API | Your messages, voice audio, vocabulary list, and memory notes sent as part of an AI request | To generate replies, score word usage, and power voice mode. Requests are billed to your API key and are governed by Google’s API terms and privacy policy. |
| Google — Sign-In | Authentication request | To verify your identity when you log in. |
| MongoDB Atlas | All stored application data | Our database host. |
| Application hosting providers | Server logs, traffic | To serve the website and backend API. |
These providers operate under their own privacy policies. Because we rely on them, your data may be processed on servers outside your country, including in the United States.
Important about AI processing: anything you type or say to a persona is sent to Google’s Gemini API to produce a response. Please do not share passwords, financial details, government identifiers, health records, or other highly sensitive information in conversations.
We keep your data only for as long as your account exists, and only for as long as you want it. You are in full control, directly in the app.
Immediate, permanent deletion — no soft-delete, no grace period, no archive. When you delete something in Fluently, it is erased from our database in that moment. We do not keep a hidden copy, we do not “deactivate” records instead of removing them, and we do not retain your deleted content for analytics, model training, or any other purpose.
What you can delete yourself, at any time, from Settings → Data management:
Elsewhere in the app you can delete individual words, individual chats, and whole personas (which also deletes that companion’s conversations) at any time.
Full account deletion: email us (below) and we will delete your account and all associated data.
Deletions are permanent and cannot be undone — we cannot restore deleted data for you, even if you ask. Please note that our database host (MongoDB Atlas) and our hosting providers operate their own automated infrastructure backups and short-lived server logs as a standard platform function; residual copies there are outside our direct control and are overwritten on those providers’ own schedules.
We use HTTPS for all traffic, encrypt your API key at rest, store no passwords at all (authentication is delegated to Google), and use signed, expiring session tokens. However, no service can guarantee absolute security, and we cannot promise that unauthorised access will never occur.
Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to certain processing. Most of these you can exercise directly in the app; for anything else, contact us. You can also withdraw consent at any time by deleting your account.
Fluently is not directed at children. We do not knowingly collect personal data from anyone under 18. If we learn that we have, we will delete it.
We may update this policy as the app evolves. The “last updated” date above will change, and significant changes will be communicated in the app or by email. Continuing to use Fluently after an update means you accept the revised policy.
